How do I print barcode and QR code stickers that scan reliably?

Printed codes scan reliably when you keep four things right: minimum size (about 0.8 in square for a QR scanned by phone, larger for scan guns at distance), a quiet zone of at least four modules of blank space around the code, hard dark-on-light contrast (never light-on-dark or coloured-on-coloured), and a matte or non-glare finish so overhead light does not blow out the read.

The four rules

1. Size for the scan distance. A QR read by a phone at arm's length needs roughly 0.8 in square. A code scanned by a handheld gun across a warehouse aisle needs far more - a common planning ratio is code width of about one tenth the scan distance. Linear barcodes (Code 128, UPC) need adequate bar width, so do not shrink a barcode to fit a label; resize the label.

2. Leave the quiet zone. Blank margin around the code is part of the code. QR needs at least four modules on all sides; linear barcodes need a clear zone at each end. Artwork crowding the code is the single most common cause of failed scans.

3. Keep contrast brutal. Black on white scans. Dark navy on cream usually scans. Light grey on white, white on black (inverted), or a code sitting on a photo often does not. Scanners read reflectance, not colour.

4. Kill the glare. Gloss laminate under warehouse lighting throws a hotspot that hides part of the code. Matte laminate diffuses it. For any code that will be scanned repeatedly under overhead light, order matte.

Practical layout for asset and equipment tags

  • Put a human-readable version of the number under the code. Scanners fail; people still need the asset ID.
  • Keep the code away from the sticker edge and away from any fold or curve.
  • On curved surfaces, orient a linear barcode so the bars run *around* the curve, not along it, or the scanner sees distorted bar widths.
  • Sequential serial numbers can be printed as variable data across a run, so each sticker carries its own number.

Material choice matters as much as artwork

For equipment, machinery and outdoor assets, use 3 mil vinyl with laminate. Paper labels chalk, curl and lose contrast within a season, and a faded code is an unscannable code.

Test before you commit

Print or order a small proof and scan it with the exact device it will be used with, at the exact distance, under the actual lighting. A code that scans on your desk can fail on a loading dock.

Should barcode stickers be gloss or matte?
